Arrival & Residence Establishment

A new residence is acquired once. A new life setting must be established.

Entering a new residence — particularly in another city or country — requires many separate matters to come into correspondence.

DGF Private Office establishes one plan for the residence itself — handover, utilities, service arrangements and practical readiness — and remains the family's point of continuity until the residence is properly in use.

One point of continuity

A principal should not have to coordinate the property advisers, insurers, movers, technicians, utility providers and other residence specialists as a collection of unrelated appointments.

DGF Private Office establishes the condition and handover position of the residence, prepares the occupation chronology, coordinates the appropriate providers and holds the accepted residence-establishment process together.

The House does not claim to perform every specialist task itself. It ensures that each task is placed with the correct party, completed in the correct order and brought back into one coherent passage.

The stages of the mandate

    The Establishment Brief

    Understanding the family before organising the move

    DGF Private Office establishes:

    • the residence and its handover position
    • the intended date of occupation
    • who will hold access and authority
    • condition, works and outstanding handover matters
    • service and maintenance arrangements already in place
    • independent specialists already appointed by the family
    • matters requiring discretion

    Sensitive personal documents are not requested through the public website.

    The Arrival Plan

    One chronology of decisions, documents and appointments

    The arrival plan may coordinate, in relation to the residence:

    • handover date and sequence
    • utilities and communications
    • service, maintenance and technical contracts
    • insurance of the residence, arranged with the family's own advisers
    • deliveries, installation and access windows
    • keys, alarms and access authorities
    • the register of documents relating to the residence

    The exact service depends upon the family, the jurisdiction and the mandate.

  3. III

    Residence Readiness

    The residence prepared before the family arrives

    A residence should not be handed over as a collection of unfinished tasks. Before arrival, DGF Private Office may coordinate the practical readiness of the residence, including:

    • keys and access
    • cleaning and technical inspection
    • utilities
    • communications
    • essential furnishings
    • delivery and installation
    • household inventory
    • correction of outstanding handover matters

    DGF Private Office coordinates these matters through independent providers; the work itself is performed by those providers.

  4. IV

    Establishment Period

    Arrival is a period — not a single day

    The mandate continues through the first establishment period, until the residence is functioning properly. The service may include:

    • residence handover
    • completion of residence setup
    • resolution of delivery or installation deficiencies
    • confirmation that appointed providers have completed their work
    • the closing record of the establishment

    The mandate then closes, or moves into a separately commissioned matter. The House is not an indefinite household service.

The House may:

  • understand the requirements for the residence
  • establish the plan for handover and readiness
  • coordinate appointed providers
  • prepare the document and appointment register
  • monitor deadlines
  • maintain the mandate record
  • remain the single point of contact
  • confirm completion

Appointed specialists

Where a matter falls outside the establishment of the residence, DGF Private Office does not perform it. Such matters are identified and referred to independent specialists, appointed separately, who may include:

  • notaries and local legal advisers
  • tax advisers
  • insurers or authorised intermediaries
  • technical, utility and maintenance providers
  • moving, installation and customs contractors

Legal, tax, insurance and other regulated matters are undertaken only by appropriately authorised independent institutions or professionals.

DGF Private Office coordinates, prepares, arranges, introduces, assembles, monitors, accompanies and appoints. Completion of legal, insurance, utility, technical, moving and other independently provided work remains subject to the requirements and decisions of the relevant authorities and appointed providers.
